Volunteer Guidelines, Rules, and Regulations

Operation Seed Sowers of America

1. Purpose & Mission Alignment

Volunteers of Operation Seed Sowers of America (OSSOA) are expected to support the organization’s mission of serving communities with integrity, compassion, and excellence. All volunteers must act in a manner that reflects OSSOA’s values and promotes a safe, respectful, and inclusive environment.

2. Eligibility & Enrollment

Volunteers must complete a volunteer application and any required orientation or training. Volunteers under the age of 18 must have written parental or guardian consent. Background checks may be required for roles involving children, seniors, sensitive information, or access to private property. Acceptance as a volunteer is at the discretion of OSSOA and may be revoked at any time.

3. Code of Conduct

Volunteers are expected to: Treat all individuals with dignity, respect, and courtesy. Maintain a positive, cooperative, and professional attitude. Follow all instructions given by OSSOA leadership or designated supervisors. Refrain from discrimination, harassment, intimidation, or abusive behavior of any kind. Avoid conflicts of interest and disclose any potential conflicts to OSSOA leadership.

4. Attendance & Commitment

Volunteers should arrive on time and be prepared for scheduled activities. If unable to attend, volunteers must notify OSSOA as soon as possible. Repeated no-shows or failure to communicate absences may result in dismissal from volunteer service. Volunteers are expected to complete assignments to the best of their ability and within agreed timelines.

5. Safety & Compliance

Volunteers must follow all safety protocols, policies, and procedures. Personal protective equipment (PPE) must be worn when required. Unsafe conditions, accidents, or injuries must be reported immediately. Volunteers must not perform tasks outside their assigned role or skill level.

6. Confidentiality & Privacy

Volunteers may have access to sensitive or personal information. All personal, organizational, and client-related information must be kept confidential. Volunteers may not share photos, videos, names, or identifying information without written authorization from OSSOA. Breaches of confidentiality may result in immediate termination of volunteer status.

7. Use of Property & Resources

OSSOA equipment, supplies, vehicles, and facilities must be used responsibly and only for authorized purposes. Volunteers are responsible for any damage caused by misuse or negligence. Theft, misuse, or unauthorized use of OSSOA property is strictly prohibited.

8. Substance-Free Policy

Volunteers may not use, possess, or be under the influence of alcohol, illegal drugs, or impairing substances during volunteer activities. Prescription medications must not interfere with the volunteer’s ability to perform duties safely.

9. Social Media & Public Representation

Volunteers may not speak on behalf of OSSOA without prior authorization. Any public posts related to OSSOA must reflect the organization’s mission and values. Volunteers must not post misleading, offensive, or unauthorized content involving OSSOA.

10. Dress Code & Professional Appearance

Volunteers must dress appropriately for their assigned duties. Clothing should be clean, modest, and suitable for the work environment. Closed-toe shoes and safety gear may be required for certain activities. OSSOA-branded apparel should be worn when provided or requested.

11. Anti-Harassment & Non-Discrimination Policy

OSSOA maintains a zero-tolerance policy for harassment or discrimination based on race, color, religion, gender, age, disability, sexual orientation, national origin, or any other protected status.

12. Disciplinary Action & Termination

OSSoA reserves the right to discipline or dismiss volunteers for policy violations, unsafe behavior, or actions inconsistent with the organization’s mission. Disciplinary actions may include verbal warnings, written warnings, suspension, or termination. Serious violations may result in immediate dismissal without prior notice.

13. Liability & Waiver

Volunteers serve at their own risk and must sign a liability waiver prior to participation. OSSOA is not responsible for personal belongings lost, stolen, or damaged during volunteer service. Volunteers agree to release OSSOA from liability for injuries sustained during authorized activities, except where prohibited by law.

14. Acknowledgment & Agreement

By signing up to volunteer with Operation Seed Sowers of America, volunteers acknowledge that they have read, understood, and agree to abide by these guidelines, rules, and regulations.

15. Volunteer Cash & Donation Policy

Handling of Cash and Monetary Donations: For the protection of our volunteers, our organization, and the community we serve, volunteers are not permitted to accept, handle, or transport cash, checks, gift cards, or any form of monetary donation at any time. If an individual wishes to give a cash or monetary donation, the volunteer must politely direct the donor to an authorized staff member or leadership representative to receive the donation. This policy helps ensure proper accountability, transparency, and accurate documentation of all donations. Failure to follow this policy may result in immediate removal from the volunteer activity.
